The TASKEY mobile app

The TASKEY Android app - leads, calendar, tasks, push notifications and the attendance clock on your phone. Installing it, logging in for the first time, the main screens and the settings.

The TASKEY mobile app

The app brings the system to your phone: your leads, calendar, tasks and attendance clock, plus a notification the moment a new lead comes in. You log in with the same username and password you use on the computer, and everything stays in sync.

Installing The app is available for Android phones. For an installation link, message us on WhatsApp (the card at the bottom of this page). No Android? The system also works in your phone's browser - see section 9.

About the screenshots: The screenshots show the app in Hebrew. Button names are given in English, with the Hebrew label in parentheses where it helps you find it.

1. First login

  1. Open the app. On the Welcome to Taskey (ברוך הבא ל־Taskey) screen, enter the server address (כתובת שרת): the first part of the address you use to log in on the computer. You log in at mycompany.taskey.co.il? Enter mycompany.
  2. Tap Continue (המשך).

The server address screen in the app

  1. On the Welcome back (ברוך שובך) screen, enter your username and password - the same details you use on the computer - and tap Log in (התחברות).

The login screen with username and password

  1. Is a fingerprint or face ID set up on your phone? The app will ask whether to allow biometric login. Choose Yes, and from the next time on you'll log in with a touch. You can always tap Log in with password (כניסה עם סיסמה).

Working with several companies? Tap Switch company (החלף חברה) - on the login screen or in the settings. The companies you've logged in to are saved under Recent companies, so switching between them is quick. Notifications come only from the company you're currently logged in to.

Forgot your password

  1. On the login screen, tap Forgot password (שכחתי סיסמה).
  2. Enter your username and tap Send code. A 6-digit code is sent to the email registered for you in the system.
  3. Enter the verification code, choose a new password (at least 8 characters), type it again in Confirm password and tap Change password.

The code is valid for 10 minutes. The new password is also used to log in on the computer. To reset it from the computer, see Forgot password.

2. The home screen

The app's home screen: metrics, today's meetings and shortcuts

  • Four metrics: Active leads, Open tasks, Today's meetings and This month's revenue. Tapping a metric opens its screen.
  • Next meeting and Today's meetings, Overdue tasks and Recent leads.
  • Shortcuts to the Sales funnel, Tasks and Purchases.
  • The attendance clock button under the greeting (for example "Not on shift · tap to clock in") shows whether you're on shift, and tapping it opens the clock. It appears when the attendance clock module is active for you.
  • The bell in the corner opens the notification center. A red dot = there are unread notifications.

3. The bottom bar and "More"

At the bottom of the screen: Home, three buttons you chose (at first Leads, Calendar and Reports), and More (עוד).

Tap More (or ☰ at the top of the screen) to open the full menu, with every screen. Log out is at the bottom of it.

The full menu opened from "More"

Some items appear only when you have access to them: WhatsApp for the account manager and users with the WhatsApp chat > View permission, and Attendance clock when the module is active. Want a different button in the bottom bar? See section 8.

4. Leads

The leads list: search, filter by status and the new-lead button

  1. Tap Leads in the bottom bar. The newest are at the top. A rep sees the leads assigned to them; anyone with permission to see all leads sees all of them.
  2. Search by name, phone or email, or filter by status in the row of buttons under the search. Each status shows how many leads are in it.
  3. The phone icon on a card dials the lead's number. Swiping a card sideways reveals Call and WhatsApp.
  4. Tap a lead to open its card.

The lead card

A lead card in the app: quick actions, status and info

  • Quick actions: Call, WhatsApp (opens WhatsApp on your phone), Email, and Contacts to save the lead to your phone's contacts.
  • Status: tap Change and pick a status from the list. Changing a status from the app runs the same automations and triggers as changing it on the computer, and it's recorded in the lead's status history and timeline.
  • Info: creation date, lead source and campaign.
  • Lead details: name, phone, email, city, address and notes. You can edit them.

Changed something? Tap Save changes Even a status change is saved only after you tap Save changes (שמור שינויים) at the bottom of the card. Leaving without saving keeps the previous value.

The lead's comment history, meetings and purchases are on the lead card on the computer - see The lead card.

New lead and importing contacts

New lead: on the Leads screen tap New lead (the blue button), fill in first name, last name, phone, email, city and notes, and tap Create lead. A name or a phone is required.

Importing from your phone's contacts:

  1. On the Leads screen, tap the person-with-a-plus icon in the top corner.

The import-contacts button on the leads screen

  1. Allow the app access to your contacts.
  2. Select the contacts you want, or tap Select all. Anyone already in your leads list is marked Exists (קיים) and won't be imported again. For a rep, the check is only against their own leads, so a contact who is another rep's lead will come in again, as a duplicate.
  3. Tap the Import button at the bottom of the screen (it shows how many contacts you selected) and confirm. Each contact comes in as a new lead.

Where does a lead created in the app go? The lead comes into the system without an assigned rep. If you're a rep, you'll see it in your list once it's assigned to you. For each such lead, a New lead! notification is sent to everyone logged in to the app in the company - so importing many contacts sends many notifications.

5. Calendar and tasks

Calendar: tap Calendar in the bottom bar.

The calendar: the days of the week and a meeting on the selected day

  • Pick a day in the strip of days. A dot under a day = it has meetings. The arrows move a week.
  • Tap a meeting for details. There you can write a meeting summary and tap Mark as done.
  • Swipe a meeting sideways: Postpone (to the next day) or Done.
  • New meeting: title (required), description, day and time, then tap Confirm meeting.
  • A rep sees in the calendar only meetings they created themselves. A meeting someone else set, even on one of your leads, won't appear here - check it in the system on the computer. Anyone with permission to see all leads sees all meetings.

Tasks: tap More, then Tasks.

The tasks screen: overdue, today, tomorrow

  • Tasks are grouped by when they're due: Overdue, Today, Tomorrow, Later, No date and Completed. The blue card shows how many of today's tasks are already done.
  • Mark a task as done with the circle on its card, or swipe it sideways: Done or Postpone to the next day. A rep can close or postpone only tasks they created themselves. A task a manager assigned to you appears in the list, but trying to close it shows "No permission to update this task" - close it in the system on the computer.
  • New task: title (required), description and urgency (Urgent, Medium, Low; Low is preselected), then tap Create task. The task is saved without a due date and without an assigned user, so it appears under No date and isn't included in the 08:00 morning reminder.

The screen shows all the tasks in the company The Tasks screen lists every active task in the company, including other users' tasks, and the blue card counts all of today's tasks. The Open tasks metric on the home screen counts, for a rep, only tasks they created themselves - so that number can be smaller.

A meeting or task for a specific lead Meetings and tasks created in the app aren't linked to a lead. To link a meeting or task to a lead, create it from the lead card on the computer. More about meetings and tasks and projects.

6. The other screens

All of them are in the More menu:

ScreenWhat's in it
WhatsAppWhatsApp conversations by status (Waiting for a rep, In progress and more), Take over, sending messages, attaching files and images, and scheduling a message. These are the conversations of the WhatsApp connected by QR scan. Shown to the account manager and users with the WhatsApp chat > View permission - see Connecting and using the WhatsApp module. Official WhatsApp (Meta) conversations are not shown in the app
PurchasesPurchases with the amount, the products and the invoice status. Tapping a purchase shows its details and the invoice issued in the system. To issue an invoice for a purchase, issue it from the purchase in the system on the computer - see Invoice providers. A rep sees only their own purchases
ProjectsThe projects and the tasks in each. You can add a task to a project and mark a task as done. A rep marks only tasks they created
ReportsTotal sales, leads, meetings and open tasks for Today, This week, This month or This year, and leads by status

Rep commentsThe comments reps wrote on leads, with search and a period picker. A rep sees comments on their own leads; a manager sees all of them
Attendance clockA Clock in / Clock out button, today's working hours, a weekly and monthly summary and a Monthly report. Shown when the module is active - see Attendance clock
SearchOne search across leads, tasks, meetings, projects and purchases, by name, phone, email or title

7. Notifications

The app sends push notifications to your phone, and every notification is also kept in the notification center (the bell):

The notification center: new lead, follow-up reminder and today's tasks

  • New lead! with the lead's name and phone. Sent to everyone logged in to the app in the company.
  • Time to get back to... when the follow-up date set on the lead arrives. Sent to the assigned rep; for a lead with no rep, to the managers who see all leads.
  • Good morning! Your tasks for today every morning at 08:00 (not on Saturday), when you have open tasks for today assigned to you.
  • Incoming WhatsApp messages, for users with access to the WhatsApp conversations.

Tapping a notification opens its lead or screen. Mark all as read marks every notification as read, and the Leads, WhatsApp and System tabs filter them.

Choosing which notifications to get: tap More → Settings → Manage notifications.

Manage notifications: a switch for each type

  • A switch for each type: New lead comes in, Lead follow-up reminder, Open tasks for today, Incoming WhatsApp message. Turn off what you don't want.
  • For WhatsApp you can narrow it down to Only my conversations, and add Group messages too (off at first).

Your choices are saved to your account and apply to every phone you're logged in on.

The "Push notifications on this device" switch At the top of the screen there's also a Push notifications on this device switch. When it's off, this phone no longer pops up Taskey notifications - whether the app is closed or in the background. The notifications are still saved and shown under the bell inside the app. This switch applies only to the current phone; the choice of notification types (above) is saved to your account and applies to all devices.

8. Settings

9. No Android? The system in your phone's browser

The system also works in the browser of any phone, including iPhone. Go to your system's address (for example mycompany.taskey.co.il) with the same username and password. Leads are shown as cards, with call and WhatsApp buttons and a status picker.
